Groups & Events Coordinator

We are seeking an experienced hospitality professional to coordinate group, banquet, retreat and special event activities.

The Groups & Events Coordinator is responsible for working with clients and other team members to deliver the best possible experience for all group business and on-site events, including but not limited to corporate and NGO retreats, wellness workshops, weddings, banquets & live performance events. In addition to core duties, a person in this position will also participate in our regular guest-facing hospitality efforts, and will represent the culture and values of Race Brook Lodge with all guests, vendors, partners and other staff, as well as in the public eye and online presence.

Summary of Responsibilities:

  • Coordinate with other team members to ensure smooth execution of all types of group events, banquets, retreats, weddings and live performances.

  • Communicate consistently and clearly with group clients to ensure needs are met in the best possible way

  • Manage regular care and preparation of group gathering spaces

  • Manage all room blocks and overnight reservations related to group activities and events

Qualifications

  • Respect for the Earth

  • Attention to detail, excellent organizational skills

  • Event production and/or catering experience

  • A genuine interest in hospitality and ability to connect with people and put them at ease

  • Advanced and clear communication practices across different media and online platforms

  • Advanced computer proficiency and ability to learn new software and technical tools

  • A positive attitude, a desire to be part of a team and an interest in learning new skills

Race Brook Lodge is a magical rustic retreat destination at the foot of the Taconic Range in the Berkshire Hills of western Massachusetts. We have 35 guest rooms, a 60-seat restaurant, several dynamic event spaces and an organic farm on the property. We host overnight guests, as well as group workshops, retreats, weddings, live music and dance events, yoga retreats, corporate gatherings and more.  We are creating a nourishing setting for people to engage with nature for relaxation, inspiration, connection, and healing.
